Sort the order of your references

Sorting the order of your references can be done by clicking the column name. A click on the column name will sort the references in ascending or descending order.

We have sorted Year in ascending order in the following example

 

In the following example Item Type is sorted in ascending order. All columns can be sorted in this way.

 

It's also possible to add and remove columns to adjust Zotero to your needs. This can be done by right-clicking in the area where you see the name of the different columns (marked in red below) and choose which columns you want to be visible.

Search for references

Quick searches provide a fast way to find items in a library or collection. The search is context dependent, this means that you can search one library at a time, for example your local library or a shared group.

Zotero has 3 different search modes:

- Title, Creator, Year - Zotero will search these fields only
- All Fields & Tags - Searches all fields in Zotero
- Everything - Searches all Zotero fields and includes results from PDF's

Choose the library where you want to search and type the search term in the search field. We have chosen My Library and Everything in this example.

 

 

Saved searches - Smart groups

It's possible to create "smart collections" by setting up Saved Searches. References that match the search criteria will automatically be put in the collection where the search is set up.

1. Click the Search-icon and choose Advanced search

2. Fill in the search criteria. Click the plus sign to add more search fields. Click Save Search

 

3. All articles with "innovation" in any field will be automatically added to the group.

Keywords and tags

You can also organize your references by using tags. Tags can be added to any reference in the tags field. This will make it easier to find references when you're searching your library. References imported from a database may already have tags in the metadata, but you can edit these or add more tags.

1. Mark the reference you want to tag.
2. Click Tags.
3. Add a tag.
